Industrious Technology Services ("we," "us," "our") provides AI-powered phone receptionist services to small hospitality businesses. This Privacy Policy describes what information we collect when callers interact with our phone systems, how we use it, and the rights you have over that information.
1. Information we collect
From phone calls
When you call a business that uses our phone receptionist service, we may collect:
- Your phone number (captured automatically by the phone system as inbound caller ID)
- Your name, if you provide it during the call
- Your email address, if you provide it during the call
- The audio content of your call
- A written transcript of the call
- Information you share about your inquiry (e.g. dates of stay, party size, questions asked)
- Call metadata (date, time, duration)
From text messages
If you consent to receive a text message from us during a phone call, we collect the phone number you authorize the message to be sent to. We do not collect text-message contact information from any other source. We do not buy, rent, or import contact lists.
2. How we use your information
We use the information we collect only for the following purposes:
- Answering your call and helping you with the reason you called
- Sending you a booking link, restaurant reservation link, or other information you specifically request during the call
- Forwarding your inquiry to the business you called (e.g. relaying a callback request to the innkeeper or owner)
- Improving the quality and accuracy of the phone receptionist service
- Complying with legal obligations and resolving disputes
We do not use your information for marketing, do not sell it, and do not share it with third parties except as described below.
3. Text messaging (SMS) practices
Opt-in is verbal. We send a text message only after you verbally consent during a phone call. The receptionist explicitly asks whether you want to receive the text and waits for your affirmation before sending.
Opt-out is anytime. Reply STOP to any message we send and you will be removed from any future text communication. Reply HELP for help.
What you can expect
- Messages are transactional only (booking links, reservation links, or callback confirmations related to your call)
- We do not send marketing texts
- Standard message and data rates from your carrier may apply
- Message frequency depends on your interactions with the businesses we serve, typically one message per phone call
What we don't do
- We do not share your phone number with anyone other than the business you called
- We do not add you to any marketing list
- We do not text you unsolicited
4. Call recording and notification
Calls handled by our receptionist are recorded and transcribed for service quality, training, and operational purposes. At the start of every call, the receptionist notifies callers that the call is being recorded. By continuing the call after this notice, you consent to the recording. You may end the call at any time before continuing if you do not consent.
5. Service providers
We use the following third-party service providers to operate our phone systems. Each is bound by their own privacy and security obligations:
- ElevenLabs — voice processing and conversational AI
- Twilio — phone call routing and SMS delivery
- Make.com — workflow automation between systems
- Notion — internal call log storage
- Netlify — website hosting
We share with these providers only the information necessary for them to perform their function. We do not share your information with advertisers, data brokers, or marketing networks.
6. Data retention
We retain call recordings, transcripts, and structured call data for a maximum of 12 months from the date of the call, after which they are deleted. We retain your phone number for as long as necessary to operate the service for the business you called and to honor any opt-out requests indefinitely.
7. Your rights
You have the right to:
- Request a copy of the personal information we hold about you
- Request that we correct inaccurate information
- Request deletion of your information
- Opt out of any future communication at any time

8. Security
We use industry-standard security practices to protect your information, including encrypted transmission (TLS/SSL), encrypted storage, and access controls limited to authorized personnel. No system is perfectly secure, but we work to reduce risk wherever possible.
9. Children's privacy
Our service is intended for adults inquiring about hospitality and travel businesses. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will reflect the most recent revision. We will notify you of material changes by posting the updated policy on this page.
